Volunteer Application Process

Here’s a simple step-by-step guide to help you complete the application process. Follow each stage carefully to ensure we receive all the information needed to get you started.

1) Submit Your Online Application

Complete the online application and select your preferred mission dates and volunteer role(s).
Submitting an application does not guarantee acceptance. Please do not purchase flights at this stage.

2) Receive Application Decision

Applicants will receive an email indicating whether they have been accepted.

  • For trips within 3 months, decisions are typically shared within 1 week

  • For trips more than 3 months out, decisions are typically shared within 3–4 weeks

If accepted, you will receive a Volunteer Information Packet with key mission details, travel guidance, and next steps.

3) Confirm Your Participation: Deposit Required

A $750 non-refundable deposit is required to move forward after acceptance and will be applied toward your total program fees.
Deposit is due within seven (7) days of acceptance.
Your spot is NOT reserved until your deposit is received.

4) Submit Credentials for Verification (Medical Volunteers Only)

Medical volunteers must submit required credentials for verification within fourteen (14) days of acceptance (or within seven (7) days for trips occurring within three months).
Medical volunteers are not fully confirmed until credential verification is completed and approved.

5) Final Confirmation & Mission Team Placement

Final confirmation and placement on the mission team occurs after:

  • Deposit submission, and

  • Completion of required onboarding items (including credential verification for medical volunteers)

***U-VOL Foundation reserves the right to revoke acceptance if the volunteer deposit, credential verification (if applicable), or onboarding requirements are not completed by the stated deadlines.

6) Prepare Travel Documents

After acceptance and deposit submission, volunteers should begin travel preparations, including:

  • Renewing passport (if needed)

  • Obtaining a visa (required for travel to Nigeria)

  • Scheduling immunizations (if applicable)

7) Book Flights Through U-VOL’s Designated Travel Partner

For volunteer safety and coordinated travel logistics, all volunteers are required to purchase flights through U-VOL’s designated travel partner. Flight booking instructions will be provided in your Volunteer Information Packet.

8) Complete Follow-Up Items & Submit Required Forms

Volunteers will receive a checklist of required forms and documents. Items may be submitted gradually (not all at once). Follow-up items may include:

  • Emergency Contact & Medical Information Form

  • Code of Conduct

  • Photo & Written Release

  • Willful Participation / Waiver Form

  • Late Cancellation Agreement

  • Scholarship Agreement (if applicable)

  • Copy of passport (all volunteers)

  • Medical credentials (medical volunteers only)

  • Flight itinerary

9) Pay Remaining Program Fees

The remaining program fee balance must be paid in full no later than six (6) weeks prior to departure.

Reminders & Communication

Volunteers will receive their first reminder email approximately 2 months prior to departure, followed by additional reminders at the 1-month mark and as needed leading up to the trip.
